 IWCE SHOW POLICY 

Cancellation Policy

REGISTRATION CANCELLATION/SUBSTITUTION POLICY

Registrants who cancel their seminar and/or special event registration on or before Monday, February 15, 2027, at 11:59 p.m. Central Time are eligible for a refund of all registration fees paid, less a $50 cancellation fee. Cancellation requests must be submitted in writing by email to RCS Customer Service by the deadline. 

Refunds will be issued to the original form of payment.

No refunds will be issued for cancellation requests received after February 15, 2027, at 11:59 p.m. Central Time, including no-shows, late arrivals, early departures, or failure to submit a cancellation request by the stated deadline. 

​

If IWCE cancels the event, registrants will receive a refund of all registration fees paid, less any applicable non-refundable processing fees.

​

BADGE & REGISTRATION POLICY:

Event registrations and badges are non-transferable. Badge sharing is strictly prohibited and may result in badge confiscation and removal from the event. 

​

VIP PASS TERMS AND CONDITIONS: 

The complimentary VIP Exhibit Hall Pass is available by preregistering online and entering the promotional code during checkout. 

  • Valid for Exhibit Hall admission only on March 15–16, 2027. 

  • One promotional code may be redeemed per registrant. 

  • Promotional codes cannot be applied onsite or retroactively. 

  • Previously purchased Exhibit Hall passes are non-refundable. 

  • Promotional codes are not valid for Non-Exhibiting Suppliers (NES). 

  • Offer expires at 11:59 p.m. Central Time on March 13, 2027. 

Substitution Policy

If a registered attendee is unable to attend, a substitute from the same organization may attend in their place at no additional charge. Substitution requests must be submitted in writing prior to the event or completed at the IWCE Registration Desk by presenting the original registrant's confirmation. 

NONEX & Suitcasing Policy

IWCE Non-Exhibiting Manufacturer (NONEX) & Suitcasing Policy 

IWCE is committed to protecting the investment of our exhibitors and maintaining a fair, professional marketplace for all participants. To support this commitment, the following policies apply to non-exhibiting manufacturers, suppliers and other industry companies attending IWCE.

Non-Exhibiting Manufacturers & Suppliers (NONEX) 

A Non-Exhibiting Manufacturer/Supplier (NONEX) is any manufacturer, supplier, distributor or other industry company that is not a contracted IWCE exhibitor but wishes to attend the event. 

​

Registration & Approval 

All NONEX registrations are subject to review and approval by IWCE Show Management before exhibit hall access is granted. Registration does not guarantee approval or admission. 

​

Exhibitor Status 

Only companies with contracted and paid exhibit space are recognized as official IWCE exhibitors and receive exhibitor privileges. Affiliated brands, divisions, subsidiaries or related companies that are not separately contracted to exhibit are not automatically entitled to exhibitor status or privileges. 

​

Registration Fees 

NONEX registrations are subject to the applicable NONEX registration rate and are not eligible for exhibitor discounts, promotional codes, complimentary registrations or other special pricing unless specifically authorized by IWCE Show Management. 

​

Off-Site Activities 

NONEX companies may not organize or host meetings, hospitality events, receptions, product demonstrations, sales presentations or other business or promotional functions at IWCE host hotels or affiliated event venues during IWCE without prior written approval from Show Management. 

​

Suitcasing Policy 

Suitcasing is the practice of attending IWCE without exhibiting or sponsoring for the purpose of soliciting business, promoting products or services or conducting unauthorized commercial activity with exhibitors or attendees. 

​

To protect the integrity of the IWCE marketplace: 

  • Business solicitation and promotional activities are permitted only within contracted exhibit space or other areas specifically authorized by IWCE Show Management. 

  • Distribution of brochures, business materials, samples, promotional items or other marketing materials outside authorized exhibit space is prohibited. 

  • Solicitation in aisles, seminar rooms, meeting spaces, registration areas, common areas, hotel lobbies, restaurants or other public spaces associated with IWCE is not permitted. 

  • Roaming or “strolling” promotions, unauthorized demonstrations, advertising, entertainment, signage or other promotional activities outside contracted exhibit space are prohibited. 

  • Attendees may not use an IWCE registration badge as a substitute for exhibiting or sponsoring when their primary purpose for attending is commercial solicitation or promotion. 

Any individual or company found to be in violation of this policy may have their badge and event credentials revoked and may be removed from IWCE without a refund. IWCE reserves the right to restrict participation in future events when appropriate.

NONEX Review & Approval 

IWCE Show Management reviews NONEX registrations to determine eligibility and ensure compliance with event policies. 

​

Companies whose business activities include manufacturing, wholesale distribution, dealer or reseller programs, supplier services, private-label products or other activities that may compete for business within the IWCE marketplace may be subject to additional review. 

​

IWCE reserves the right to approve, deny, cancel or reclassify a NONEX registration at its discretion in order to protect the integrity of the event and the investment of participating exhibitors. 

​

Companies interested in conducting business, demonstrating products, generating leads or promoting their brand at IWCE are encouraged to contact Show Management regarding exhibiting and sponsorship opportunities. 

​

Event Policies:

  • IWCE is a trade-only event. 

  • Children under the age of 16 are not permitted in the Exhibit Hall. Attendees ages 16 and 17 must be accompanied by a parent or legal guardian at all times. 

  • Individuals under the age of 18 are not permitted in the Exhibit Hall during installation or dismantling. 

  • Registration for eligible minors is complimentary and must be completed onsite. 

  • Strollers, wagons, and rolling carts larger than standard airline carry-on size are not permitted on the Show Floor. 

  • Event badges must be worn and visible at all times. 

  • Smoking and vaping are prohibited in all exhibit halls, meeting rooms, and other non-designated areas. 

  • Photography, video recording, and audio recording within conference sessions or the Exhibit Hall are prohibited without prior approval from Show Management and, where applicable, the exhibiting company. 

  • Unauthorized solicitation, demonstrations, or sales activities are prohibited throughout the venue, including conference sessions. 

  • All bags are subject to security inspection upon entry. 

  • Please silence mobile devices and refrain from phone conversations during conference sessions.
